Con Registration

  1. How do I register for the Con?
  2. Click the Conrego menu option - if you have not yet registered an entry for this year, you will be presented with a link to signup. Your details should be copied in from your AON membership straight into the entry.

  3. And then how do I sign up for games?
  4. Once you've put in the entry details, click save, and you will be taken to the timetable page. You can either click on the dropdowns to sign up to the games you want; or follow the traditional timetable link to get a timetable that lays out all the games and sessions in a grid.

    Once you've chosen the games you want to play, you need to put yourself into teams for that games - clicking continue at the bottom of either timetable will take you to the team page. Here you can make new teams, enter existing teams, or join events as an individual.

    YOU MUST CLICK SAVE ON THIS PAGE. Any changes to your timetable, now or later, are not complete until you save the teams as well. This includes dropping out of games!

    Once you've clicked save, you will be emailed a copy of your convention entry for this year, and you're done. :)

  5. I want to add more games
  6. On the left side of the screen is a small menu in the blue bar. Click on edit timetable and you can add or remove games from your timetable. Click continue to go to the teams page: don't forget to click save from here!

  7. I need to change my team info
  8. Go to the menu on the left of the screen and click on edit teams. You will be presented with the team screen and you can change things to your heart's consent.

  9. What's this "admin team" link?
  10. If you create a team, you have certain admin rights for the team. If you follow this link, you are taken to a page where you can move the whole team to another session, you can change the team name, and, if necessary, boot people from the team who don't belong.

  11. I'm going to GM some sessions for someone...
  12. Follow the edit gming link from the left menu. You will be presented with a drop-down menu timetable and you can pick which games you are offering to help organise for. The event organisers are under no obligation to accept your offer, but it can help them see when they have extra GMs. They can also only give you superGM powers if you have offered to GM for their game (see below).

    If you have signed up to play sessions already, those sessions will be blocked out of the GM timetable and marked with the appropriate game name. The same applies in inverse - if you opt to GM a particular session, you will not be able to choose to play a game in that session from the timetables.

    If an event is not in the GM timetable dropdowns, this is because the writer/event organiser has chosen to not allow attendees to nominate themselves as GMs.

  13. How do I register other people for the Con?
  14. Once you have made your own registration, you can click on switch entry in the Con Rego menu. You will then be presented with a page that allows you to change between the entries you have made so far, or to create a new entry .

  15. How do I switch between them?
  16. Click on switch entry and choose the entry that you want to update.

  17. I want to delete an entry?
  18. Click on delete entry and you will be presented with a list of the current entries you have made. If you click on one of those links, you will be shown the entry and asked if you are sure you want to delete it. Clicking "delete" at this point is final.

  19. How do I pay?
  20. All monies should be paid to the convention on the day.

  21. Can't I pay online
  22. No, we have not been able to find a viable online payment service.

  23. So... why enter online?
  24. All games are filled on a first-come, first-server basis, so it means that you have reserved a place within the events you want to play on the day.

    For the event organisers, they can see how many people want to play their games ahead of time, and get the appropriate resources ready ahead of the convention, like extra GMs, copies of boardgames or even just copies of the character sheets.

    For the ConOrgs, it means we have a better idea of how many people are going to be at the convention so that we can lay in food and drink, and make sure we have enough rooms for session to session.

  25. Ok, I'm done... er, what do I do on the day?
  26. Show up ahead of your first session - before you can play, you have to sign the entry form (we'll have a copy of your entry printed out) and throw us the cash.

    If you're playing Tabletops or Freeforms, you also want to confirm with the event organiser that you actually exist and still want to play. Each event has a table in the main registration hall, and you probably want to leave about 30 minutes to show up, register, and confirm your games.

    Then you play :) Easy.

  27. I'm an event organiser - what superGM powers do I get?
  28. As an event organiser, you can follow the admin games link in the left-hand menu. You will be presented with a list of the games that you are responsible for this year.

  29. There's nothing there...
  30. You need to contact the ConOrgs and let us know your username, who the entry is for (yourself or the other person's name) and which game.

  31. Ok, I'm looking at the admin page for my game - what can I do?
  32. The admin page lets you see your game's details, and even change some of them. You can allow attendees to nominate themselves as GMs in a particular session, or not; and you can change the URL that your game will link to in the grid-timetable. Click update to change the details.

  33. I'm not seeing an Update button
  34. The event organisers might only have given you GM powers and not writer powers - GMs can only view the information for a game, and who is playing it, but they cannot change any of the details. (See below for giving powers).

  35. What's the game availability menu?
  36. As an event organiser, you can change how often your game is available in a given session, from once to as many times as needed. Please take some care when changing these values - you may be affecting players who are already entered happily into the session, believing there to be sufficient GMs to run their team. (See below for when people are entered).

    If you have changed any of the session availability, you need to click update to save the details.

  37. I need to remove a session entirely
  38. Please contact the ConOrgs to make that sort of change.

  39. I need to add a new session
  40. Please contact the ConOrgs to make that sort of change.

  41. I want to give someone else super GM powers
  42. Ok, first of all, they need to be entered into the convention.

    Secondly, they need to have offered to GM some of your sessions. Bear in mind they can't do this if you've set your game up to not accept extra gms. (See below for who is GMing when).

    Once these conditions have been met, you can click on modify underneath the list of current GMs. You will get taken to a page that lets you nominate each of the GM volunteers as writers (can modify your game info) or GMs (can just look at it).

  43. Woops, I nominated the wrong person.
  44. The facility to remove someone in this case hasn't been included - let the ConOrgs know and we'll fix it.

  45. Ok, who is in my game and when?
  46. Right at the bottom of the admin game page is a table of sessions, and who is playing and offering to GM in them. Each session where someone is playing is listed and they are broken down into each team.

    If a player is italicised, then they have joined an already full team. If a team is italicised and has a grey background, then they have entered this session after it was already marked as full on the timetable.

    (Why do we let people do that? Sometimes its not the last person to join a team that is the wrong one out, so we leave the teams open so it can be sorted out without the last person having to wait to finish their entry. And teams enter full sessions because other teams might fall through, or the Writer (that's you) might see that there is a high demand in that session and add more GMs).

    The other column is for the attendees that have volunteered to GM or help organise your event. You are not able to remove these people from the list, but you are not obligated to make them into fully fledged super powered GMs and writers either.

  47. What are all these message hotlinks?
  48. Sometimes you might need to send a message to a particular team, or people in a particular session, or to all your players; or to the GMs in a session, or so on.

    You can click the Message link to go to the AON message form, with the appropriate people pre-loaded into the recipients field. Please note: because a member can register other people as convention attendees, sometimes the recipient list can be smaller than the number of players, or include people who don't seem to be included in group you are messaging. Don't panic - the message is sent to the AON member who is responsible for that entry, and is probably the right person to contact.
